Site Rules and Regulations
Site Access
- The site opens to the public on Thursday at 3pm. You will be turned away by security if you attempt to arrive earlier, so please bear this in mind.
- The site uses a one-way road system, so please only enter from Newnham (the Western side) https://maps.app.goo.gl/iXSR3E2DKFVYJRth8
- The roads near to Menhirs Fate are clearly signposted for the event
- Entrance to the site closes at 10pm, no vehicles can enter after this time, and reopens the next morning at 8am.
- You may leave the site at any time with your vehicle but please return before the 10pm cut off if you wish to return the same day.
- Rest assured – vehicles will be parked in a way that allows a person to drive home even after time out (1am).
- Time Out is at 3pm on Sunday, and all vehicles must be off site by 8pm.
Water Access
- We are always improving water signposting and tap availability. Specifically there will now be several taps in the city centre around the guild tents where people can get clean drinking water.
- There will continue to be taps along the edges of the field.
Traffic Regulation
- Driving anywhere onsite is restricted to 5mph at all times.
- Vehicle access to the IC field is weather permitting. If wet conditions soften the ground too much; vehicles will churn the ground making it a terrible gametime experience. We will attempt to offer wheel-barrow services and other transport solutions in the event of this.
- Vehicles weight and power do damage to the ground and that can affect your ability to get around the event on foot. It also affects how long the ground takes to recover for next time. Please consider whether you need to bring a vehicle onto the IC field and please leave the field with your vehicle at your earliest convenience.
- The distance from OC Parking to the field is approximately 500m with one very gentle slope of about 20m near the hardstanding area.
- You will be asked at the entrance (in your vehicle) if you are camping IC (in character) and whether you need to offload heavy items to the IC field with your vehicle.
- If so, you will be handed a vehicle pass which will allow you on the field for a short period of time.
- Please unload in a timely manner and then safely drive your vehicle back to the main Car Park (Traffic Management in Hi-Vis will help direct you)
- Return the Vehicle pass to a member of the Traffic Management team
- Please do not delay driving your vehicle back, as this causes bottlenecks and delays with other people setting up their tents.
- While we endeavour to help anyone driving onsite, we would prefer to minimise the amount of traffic heading to the IC field – so please consider walking your goods from the carpark to the field if you are able to do so.
- It is important that all cars are off the IC field by 4pm on Friday at the very latest. This ensures gametime safety and gameplay functionality can be in place for time in. You can still set up your camp but please unload vehicles and remove them from the field.
- If you park your vehicle to offload, please do not consume any alcoholic beverages until your vehicle is parked in the main car park.
- After Time Out on Sunday at 3pm, vehicle access to the IC field will open again. Please respect the Traffic Management directions, adhere to the 5mph limit at all times and ensure you are off the site entirely by 8pm at the latest.
Fire
Fires are only permitted in the IC field and may be subject to weather conditions and grassfire risks.
All fires should be in suitable fireproof metal containers such as a firepit or cooking stove and at least 15cm from the ground. Please practise good fire safety and having fire prevention methods in mind at all times. There should be no scorching or marking of the ground. Site Team Volunteers will be on fire patrols keeping an eye on fire safety. They may ask you to adjust your fire if it breaches fire safety rules. This is not a judgment on your fire making skills – please politely comply.
No Glass
- Due to safety standards and our site’s status as an active farm – No Glass is to be allowed on site with some exceptions.
- There are very few exceptions that we do allow on the field, such as:
- Mirrors
- Lanterns with Hardened Glass
- Cosmetics containers.
- Optical Glasses and Accessibility Equipment requirements are of course also permitted.
- Please contact us (contact@menhirsfate.com) if you are unsure if something that uses glass is safe to bring.
- Broken glass can cause serious damage to participants, animals and vehicles, so please ensure that any glass that is on the field is correctly stored and contained at all times.
- Please refrain from using glass drinkware and decant all drinks into non-glass containers. We encourage ceramics, wood and other natural products as good in character options for drinking vessels.
- Breakages can and will occur, please dispose of all glass shards safely or notify a crew member if you require assistance.
Waste
- Please take what waste you can home with you. We will provide bins and a skip for your waste but – in the nicest way – we aren’t running a landfill. Reduce, Reuse, Recycle!
- Waste you cannot take home can be placed in black bin bags and then into our skip. It’s placement may change over time – it’s the only big skip on site.
- Smaller Bins for bar waste and Ash bins will be placed around. PLEASE USE THE CORRECT BIN.
- Hot Ash Bins look like oil drums cut in half. Regular Bins have bin bags in them.
- DO NOT PUT RUBBISH IN HOT ASH BINS AND VICE VERSA. This is to prevent bin fires.
- Sanitary Waste may be disposed of down any of our toilets. The waste is processed off site and not put into mains water supplies. We will also endeavour to provide sanitary bins but toilet flushing of sanitary products is actually more sanitary for our team!
No Sleeping in Cars/Vans
- We cannot allow anyone to sleep in their cars or vans in the car park.
- We only allow suitable Live-In vehicles that are specifically located in the live-in car park. These vehicles must be specifically up to code with the safety features of live-in vehicles such as camper vans.
- This is unfortunately not a policy we are able to change, and is a result of festival grade safety regulations that are in place by the Site Team from a ruling by the Local Council that prevent death and serious injury through car park fires.
- If you require a place to sleep, we encourage you to look at our Tent Hire service, or consider sleeping in a tent in the OC Camping area.
Accessibility and Power Points
- We have an accessibility camping area for those with accessibility needs. There is a centralised location for power within this area to allow you charge devices / mobility scooters, etc. It does not provide power to individual tents.
- If you select “Yes” to accessibility requirements with your ticket, please email accessibility@menhirsfate.com if you have specific needs and we will do our best to accommodate them.
- There is a designated accessibility parking area close to accessibility camping (within 25 meters). You may offload your items with your vehicle near the camping area, but please return the vehicle to the accessibility parking area at your earliest convenience.
- Accessibility live-in vehicles will be located near accessibility camping within close distance of toilets (Within 25 meters). The recharging of accessibility aids is permitted but this is not for use as a full Live-In vehicle electricity hook up.
Trader Opening Times
Our Larp Traders, Food Traders and Pub will be open from Thursday at 3pm. Both Larp and Food traders may close up when trade slows but they should often be open as late as 11pm and often later in the case of our Giant Tipi Pub which will be open until 2am during game time. Larp traders often leave the field by 3pm Sunday but our food traders will be open a little longer if you want to grab a bite to eat or good coffee after time out!
Filming Policy
- Our dedicated film crew aims to capture the magic of LARP, and they endeavour to do so discreetly without breaking your immersion.
- Signs will be placed in areas to notify you that filming can occur, and also inform you of our takedown policy
- Certain encounters or skirmishes may be flagged for filming and you will be notified prior to it happening as to whether you wish to take part or not.
- It is important to note that our crew will go to extra lengths to communicate with players to check if they are comfortable being the focus of filmed footage
- Any time large groups are filmed, the film crew endeavour to ensure that people are not easily identifiable (either because of extreme distance or blurred with focal depth)
- You may request at any time to have your image removed, it is valuable to let us know ahead of time by contacting contact@menhirsfate.com and including a description / imagery if possible
- We will never focus on filming children and/or minors.
- Footage is used primarily for Menhirs Fate marketing and informative purposes and may be published on our website, Youtube and our social media (Facebook, TikTok, Instagram, etc)
- Occasionally we may have content creators or other film makers on site. They are required to comply with our photography code of conduct. We reserve the right to withdraw our consent from any photography or creator to publish photos or videos of our gamespace.
