Cancellations and Refunds
You may cancel or transfer a ticket for an event if you inform us before 6pm on the Thursday that the event begins. You can inform us by sending an email or calling us and leaving a message. We reserve the right to charge a £15 administration fee for cancellations or transfers within two weeks of the start of an event.

Privacy
At your request, we will send email updates to inform you of new content releases, important game and event info and things like upcoming booking deadlines. If you do not wish to receive these emails you can turn them off by clicking the unsubscribe button at the bottom of any email from us. We follow GDPR guidelines – holding minimal data of our customers. Any data we do hold is treated with respect, safety and with the person’s privacy as a key concern. As part of our legitimate interests, we retain the name and surname of participants who have been banned from attending our events run by us or sanctioned by us. We inform sanctioned event organisers that an individual is not permitted to attend our events only if we discover they have booked for that event. We do not share your personal data with any other third parties without your permission.
Bookings
- 1.By booking you agree to abide by all the rules and regulations of Menhirs Fate. Our decision is final in all disputes.
- 2. Menhirs Fate reserves the right to ban any individual. If you are banned, you will be expelled from the event and refused entry to any future Menhirs Fate events or events set in our game world. Your ticket costs will not be returned if you are expelled from an event.
- 3. Anyone who deliberately breaks the spirit of the rules will be expelled and banned from future events.
- 4. No metal weapons may be brought to the site without our explicit permission. Cutlery and camp craft tools: Whilst allowed in camp – Camping knives and similar dangerous craft implements such as wood hatchets and cooking equipment must not be taken on quests, encounters, skirmishes or battles under any circumstance. Please be sure all dangerous items are safely used and safely stowed away before engaging in any physical roleplay interaction including sparring in and around the IC camp. Please be mindful of the safety of children when choosing where to store your camp knives and similar camp
and craft implements. - 5. All weapons must be checked by an official Menhirs Fate weapons checker at each event before they are used. Any item deemed unsafe must be secured in your tent or car at all times.
- 6. All fires should be in suitable fireproof metal containers such as a firepit or cooking stove and at least 15cm from the ground. Please practise good fire safety and having fire prevention methods in mind at all times. There should be no scorching or marking of the ground. - 7. Menhirs Fate will also supply fire extinguishers at clearly designated points across the festival in case of emergency. Hot Ash bins will be available – please dispose of your ashes there and do not burn plastics.
- 8. Vehicle access to the IC camping field is dependent on ground conditions. If serious damage is likely to be done to the ground we may prevent access to the IC field by vehicles.
- 9. Due to safety standards and our site’s status as an active farm – No Glass is to be allowed on site with some exceptions.
- 10. Please refrain from using glass drinkware and decant all drinks into non-glass containers. We encourage ceramics, wood and other natural products as good in character options for drinking vessels. Drink safe metals and IC plastic options are also available and many of these options are available at the event from our traders.
- 11. It is always wise to be mindful of where your drinks have been and the risks involved with drink sharing. We will have several kinds of free anti-drink spiking measures that can be collected from our IC bar.
- 12. Some glass items such as fireproof tough glass found on lanterns, mirrors and similar applications can be used as long as care is taken. Optical Glasses and Accessibility Equipment requirements are of course also permitted. Please contact us (contact@menhirsfate.com) if you are unsure if something that uses glass is safe to bring.
- 13. By attending a Menhirs Fate event you are agreeing to take part in a full contact sport.
- 14. Menhirs Fate will not be held liable for any loss or damage incurred to your person or property at an event, to the extent permitted by law.
- 15. No animals may be brought to the site without our explicit permission.
- 16. No radio transmitting equipment, frequency scanners or pyrotechnics may be brought to the site without our explicit permission.
- 17. Additional site rules may be in force at each event; these will be published on our wiki for each event.
- 18. If any provision or part-provision of these terms and conditions is or becomes invalid, illegal or unenforceable, it shall be deemed deleted, but that shall not affect the validity and enforceability of the rest of these terms and conditions.
